For parents and carers: what we collect, why, who handles it, and how long we keep it.

Who we are
Arxspire is a trading name of Greywood Group Ltd, registered in England and Wales (company number [company number]), registered office [registered office address]. We decide how your information is used, which makes us the "controller" under UK data protection law. We're registered with the Information Commissioner's Office (ICO), registration number [ICO registration number]. Contact us about your data at hello@arxspire.com.
What we collect
- About you: your name, email address, phone number, and how you'd like to hear from us. Your payment details go straight to our payment provider; we see only whether a payment was made.
- About your student: their name, school year, date of birth and school (seen only by managers, not instructors), and anything you choose to tell us that helps us teach them.
- Their learning: assessment answers and results, the work on their whiteboard, worksheets and mastery checks, their learning plan, their instructor's short notes on each session, typed messages between them and their instructor, and their bookings and attendance.
- Website requests: what you put in the free assessment form, and which ad or link brought you to us.
What we never do
- We never record sessions. Video and sound pass live between your student and their instructor and are not stored.
- We never sell your information, and never share it with advertisers.
- We don't use tracking cookies (see our cookie notice).
Why we use it, and our legal reasons
| What for | Legal reason |
|---|---|
| Teaching your student: assessments, plans, sessions, marking | To provide the service you signed up for (contract) |
| Keeping you updated on progress, bookings and payments | Contract |
| Taking payments and keeping financial records | Contract, and the law (tax records) |
| Keeping students safe, and acting on safeguarding concerns | Our legitimate interest in keeping students safe, and our legal duties |
| Replying to free assessment requests | Taking steps at your request before a contract |
| Improving our teaching and our service | Our legitimate interests |
| Occasional news and offers | Your consent (you can unsubscribe at any time) |
If you tell us about a health or learning need so we can support your student, we use it only for that, with your permission.
Who handles it for us
Trusted providers process information for us under contracts that protect it: Supabase (our database, stored in London), Cloudflare (our websites and security), LiveKit and Daily (live session video, not stored), Resend (emails we send), Google (our email inbox), and [payment provider, e.g. Stripe] (payments). Some of these are based outside the UK. Where information leaves the UK, it is protected by UK-approved safeguards. [confirm each provider's location and safeguard] We may also share information when the law requires it, or to protect a student from harm.
How long we keep it
| Information | Kept for |
|---|---|
| Your student's work and learning records | While they're with us, then deleted 12 months after their last session |
| Bookings and payment records | 6 years, as the law requires for accounts |
| Free assessment requests and results from families who don't join | 12 months after we last heard from you |
| Marketing permission | Until you unsubscribe |
Keeping it safe
Each student joins through their own private link. Staff see only what their role needs: instructors see only the students they're teaching, and never a student's school, date of birth or family details.
Your rights
You can ask to see the information we hold about you or your student, correct it, delete it, limit or object to how we use it, or receive a copy to take elsewhere.
